Services

Basic Listing Support includes:

  • Pull tax record and order TRIO
  • Begin RMLS data input (information is pulled from any previous listings and tax records.) 
  • Send listing contract and Oregon/Washington required disclosures electronically to Seller for completion and signing along with any brokerage-required advisories.
  • Send an introductory email to Client and Agent with a copy of the executed listing contract.
  • Send “Next Steps” email with link to listing questionnaire and outline of dates and additional actions and any information or documentation needed from the client.
  • Update listing data based on any new information based on the Listing Questionnaire.
  • Assist with collection of HOA docs (if applicable).
  • Order sign install.
  • Upload photos, supplements, agent-provided description/remarks, Broker Tour & Open House dates, photos and document attachments to RMLS and Offer Instructions (if requested).
  • Set up Aligned Showing/Showing Time instructions.
  • Upload all documents to the brokerage compliance platform as they are received and throughout the transaction to ensure file compliance.
  • Update listing status live/pending/sold in RMLS (if requested).
  • Order seller home warranty (if applicable)
  • Order sign removal (if requested).

Contract to Close (Buyer or Listing Side) Transaction Management Includes:

  • Create Transaction/Timeline summary and send to all parties – Escrow/Lender/Co-op Agent/Client – with a copy of the executed agreement.
  • Open escrow and send client contact information and contract.
  • Review contract documents to ensure all are fully executed with proper dates, initials and signatures and that Broker information is complete.
  • Provide Buyer with Escrow contact information and earnest money instructions.
  • Send property disclosures to the selling agent or request from the listing agent.
  • Send any other contractually required documents (HOA docs, Investment Property docs) to the selling agent or request from the listing agent. 
  • Send property disclosures to buyer for review and signature.
  • Set up a Google Drive folder for all transaction documents and share with the client at the beginning of the transaction.
  • Prepare addenda (with verbiage from agent) and route for signatures.
  • Keep track of all key contract deadlines. Send reminders & follow-up emails as appropriate and to confirm transaction stays on track.
  • Follow up on trailing signatures throughout the transaction.
  • Update all parties with copies of executed addenda throughout the transaction.
  • Order home warranty (if applicable).
  • Create commission demand and send to Escrow.
  • Upload completed contract and addenda to Brokerage Compliance platform as they are received to ensure compliance.
  • Coordinate inspections and inform all parties – request access codes if needed.
  • Follow up on repairs to ensure that deadlines are met and proper notices are provided/received.
  • Provide a complete set of contract documents to the client at closing.

Fees are deducted from escrow commissions at closing.

Add-ons & Admin Services:

  • Buyer Representation Agreements
  • Offer Prep: Prep sale agreement, and any additional added addenda/disclosures. 
  • Admin Services
    • This would include anything that falls outside of services related to the transaction. Examples include: Scheduling showings/organizing Buyer tours; Sending agent to agent referrals; Ordering client gifts; Marketing services such as scheduling “Just Listed/Sold/Proof of Performance” postcards, assembling flyers using agent-provided templates, flyer template creation. Charge is per hour and depends on service.
  • Errand Running
    • Examples include: dropping off keys; installing and removing lockboxes (with agent-provided access/shackle code), delivering flyers or installing perma flyers on posts, copying keys, etc. Give us a call to discuss how we can help. Charge is per hour and depends on service and location.
